► Role Descriptions - Sabbatical Officers

ALL FULL TIME AND PART TIME OFFICERS SHALL:-

 
1.       Promote student representation, activities, development and participation in the Union and University;
2.       Encourage cultural and social integration of all members of the Union;
3.       Take all reasonable steps that they are aware of and ensure the Union’s constitution, schedules and policies, and relevant legislation are upheld in all the Union’s activities;
4.       Comply with all elements of the Union’s, and where appropriate also the University’s, financial regulations;
5.       Actively promote equal opportunities in the Union and work to eradicate all forms of harassment, discrimination, intimidation and oppression; and encourage participation in the Union from diverse and under-represented student groups;
6.       Attend appropriate meetings and conferences and report back to Union Council and the membership;
7.       Build and maintain good, professional and supportive working relationships with the other executive officers and all staff members of the Union & University;
8.       Disseminate information to other officers, members and staff as appropriate; to ensure the whole team and student members are well informed;
9.       Spend reasonable time at outlying sites & campuses so as to represent the view of students on these campuses and site;
10.   Promote a positive image of the Union;
11.   Assist in the recruitment of staff and to ensure the best interests of the Union and students are always paramount in this process;
12.   Consider Union members in all decision making and actions, ensuring that the Unions’ activities have positive outcomes for members.
13.   Design working projects that will improve extra-curricular opportunities for all students within the local community;
14.   Participate in the development and implementation of the Union strategic plan as set down by Trustees;
15.   Provide content information for website and publications;
16.   Represent the views of students, not their own;
17.   Proritise activities according to research about what members are saying is important to them;
18.   Represent students views on project groups as appropriate;
19.   Commit to their ongoing personal and professional development;
20.   Attend executive committee and student council;
21.   Ensure the Union conducts its affairs in a manner to reduce its impact on the environment and encourage stakeholders to do likewise.

 

President

The President will:

 
1.       Support and co-ordinate the activities of the Executive Officers;
2.       Co-ordinate the representative and democratic structures of the Union, ensuring that regular meetings of the Executive, Student Council, and Trustees Board are held as outlined in the constitution;
3.       To be the Union’s point of contact for complaints;
4.       Act as the public face of the Union;
5.       Build and maintain professional working relationships with University staff and use these links to promote the interests of students, mainly via regular meetings with a range of senior executive groups including the Vice Chancellor;
6.       To work with the Corporate Affairs department of the University to make sure that members are represented positively within the media;
7.       To liaise with the Marketing, Web and Publications officer to develop the website;
8.       To Regularly report on SU news, continually promoting the Unions activities, officers and services;
9.       Act as the Executive’s liaison with the General Manager;
10.   Be one of the authorised signatories of The Union;
11.   Organise and ensure the development of Student Council;
12.   Represent the Union at Community Fora;
13.   Ensure students are represented in the development of the University’s Estates;
14.   Lobby Government / Local Council on student issues;
15.   To work with appropriate staff to develop the Media centre and Media Crew;
16.   Act as lead officer in the organisation of the Fresher’s Commercial Fayre, working with other appropriate staff and officers;
17.   To be the lead officer for campus activity, work closely with the campus officers to ensure issues faced at satellite campuses are addressed;
18.   To co-ordinate and oversee Union campaigning activity.

VP Welfare and Diversity

The VP Welfare & Diversity Officer will:

1.       Work closely with Student Services on: monitoring student needs and requirements; social policy; joint welfare casework; and the general welfare structure of the University;
2.       Be responsible for policy and representation relating to student welfare;
3.       Work to support students in Halls of residence, overseeing the recruitment, selection, training and support of Hall reps;
4.       Liaise with external bodies who offer help to students;
5.       Work to ensure the integration of students into the local community;
6.       Raise student awareness of health, safety, society, culture, citizenship and finance;
7.       Represent the concerns and views of students from all groups facing racism, unfair discrimination and harassment, and campaign for necessary/appropriate action;
8.       Identify and oversee welfare campaigns;
9.       Encourage students in citizenship activities (National elections, social response);
10.   Be the Union’s point of contact for complaints concerning welfare services;
11.   Develop community action and fundraising (RAG);
12.   Act as lead officer on equality and diversity issues;
13.   Act as the student representative on welfare cases;
14.   Oversee the development of the accommodation accreditation scheme working with the University and other stakeholders.

VP Academic Affairs

The VP Academic Affairs will:

1.       Represent students in academic cases;
2.       Act as the Union’s point of contact for academic offences, academic appeals and student academic complaints;
3.       Work closely with Student Services in casework etc;
4.       Identify and oversee Education Campaigns.
5.       Ensure Students are represented in the development of the University’s learning environments;
6.       Oversee the development of the Student Rep system. Working with the University and stakeholders;
7.       Represent student views/opinions on Education and Academia to the University to enable continuous improvement;
8.       Engage with and ensure student views are represented in the University employability agenda;
9.       Ensure the needs and concerns of postgraduate, mature and international student groups are represented.

VP Activities

 

The VP Activities will:
1.       Be responsible for policy development and representation relating to Student Activities in the Union;
2.       Oversee all sports and societies affiliated to the Union;
3.       Present the previous year’s sports and societies’ accounts, and the current year’s sports and societies’ budget to sports and societies Council;
4.       Facilitate the promotion and support of all affiliated sports and societies, and work with the Activities and Development worker to ensure appropriate training of sports and society committee members;
5.       Liaise with Community Volunteers;
6.       Work with University officials in developing sports and societies across all campuses and achievement levels;
7.       Liaise with other universities for Varsity and internal/external events, which will benefit students and the development of Sports and Societies;
8.       Attend British University and Colleges Sport conference, divisional, and national meetings on behalf of the Union;
9.       Act as Lead officer in the organisation of the Sports and Societies Fayre, working with other appropriate staff and officers;
10.   Act as lead officer, working with appropriate staff members to recruit, select, train and support SU freshers’ helpers;
11.   Represent student interests acting as lead officer on Activities and Events project group;
12.   Be the Union’s point of contact for complaints concerning Societies and Teams;
13.   Work with the sports centre, sports director and sports and exercise science department to develop facility, equipment and sport usage and funding;
14.   Be the lead officer on groups involving events and activities;
15.   Identify and oversee activities related campaigns.

Expectations

As an elected officer you will also be expected to:

  • manage and develop the services that the SU offers its members continually refer to the Students’ Union strategic
  • plan and ensure the SU is developing according to the plan
  • attend all the committees and meetings that are relevant to your role. These will be made clear to you during your handover period
  • consistently develop the Students’ Union and continue with the initiatives introduced by the previous team, in accordance with the SU strategic plan
  • take on the challenge of being a member of the Executive Committee and all the responsibilities that come with that role.
  • ensure the Students’ Union operates democratically and in accordance with the Constitution.
  • maintain working relationships between the SU and its many stakeholders including the Police, local community and University.
  • bring your own ideas and enthusiasm to the role • and the Students’ Union Team.

 

The Responsibilities

As well as each of the individual responsibilities outlined above, all officers have a responsibility to represent the students’ views on many issues and to many different organisations.

As a Sabbatical Officer you are a member of the Students’ Union Executive Committee, therefore you must be confident in your knowledge of Students’ Union policies and the Constitution.

Sabbatical Officers also oversee the Students’ Union budget and need to have knowledge of the SU financial regulations, by which they have to abide.
